The aim of our scheduling structure is intended to allow the EFACIS Centres to take a more prominent role in building their respective legs of the circuit which will allow them to develop longstanding and productive relationships with businesses and institutions in their surrounding area. It will simplify the local organization, and as you use the same hotels and facilities, people on the ground may become more familiar with the Itinerary and you may get better prices.
Therefore we request that, before organizing an Itinerary event or tour, each Centre (1) contacts the EFACIS Coordinator at firstname.lastname@example.org for details of available writers (2) agrees on dates and reservations with the guest and then (3) completes the following itemized form before (4) returning it to the EFACIS Coordinator who finalizes the necessary arrangements.
This allows all parties easy access to all requisite information in one document, and also affords individual Centres the freedom to engage with local businesses and organizations with a view to establishing ongoing relationships with them as regular hosts for tour participants.
Finally we hereby include a breakdown of expenses eligible for being covered by EFACIS’ Itinerary provision.

Breakdown of EFACIS Contribution
EFACIS will cover expenses for the following:
- Flights (within Europe).
- Transport to and from airports.
- Transport between various stages of an Itinerary tour.
- A 50 Euro per diem paid directly to the writer as reimbursement for food and drink during their Itinerary schedule.
EFACIS cannot cover:
- Long distance flights (transatlantic etc).*
- Performance fees for writers or artists (this remains the sole contribution required from Centres.)
- Individual receipts for food or drink (this is expected to be covered by the per diem).
* some limited exceptions may be possible subject to prior arrangement.
